We’re currently looking for an Office Specialist to fill an entry-level, administrative vacancy. Chief among the Office Specialist’s duties are maintaining order in our main office and acting as the frontline for all incoming Seattle Publishing requests. The following list will explore this more thoroughly.
The Office Specialist will
Maintain office operations and procedures such as reception, preparation of payroll and management reports, preparation of bank deposits, personnel, information management, filing systems, acquisition of supplies, and other clerical services.
Assist the President with administrative duties and tasks as assigned.
Coordinate the company’s internship program information, including posting internships, responding to inquiries, scheduling interviews.
Record weekly staff meeting and quarterly Board of Directors meeting minutes.
Mail invoices and statements and contact overdue accounts to arrange payment.
Ensure that SP’s main office appearance is neat and orderly.
Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Assist with the development of the office budget and initiate cost reduction programs.
Review clerical and personnel records to ensure completeness, accuracy, and timeliness.
Maintain contact with customers and outside vendors in regards to billing, payment and credit.
Conduct Bicycle Paper distribution eight times per year, including packing/shipping boxes using UPS world ship software.
Prepare and mail Bicycle Paper subscriptions utilizing the United States Bulk Mailing System.
Verify database information for Bicycle Paper newsstands.
Make office deliveries to the Bulk Mail center and errands to SP’s clients.
Create timely press releases and distribute them by the first of the month.
Create a quarterly newsletter and distribute to SP’s clients and prospects.
Exhibit a professional manner that is consistent across all office situations.
Maximize productivity through proficient use of appropriate office systems and software applications.
Follow procedures and standards that are provided in the Office Specialist Handbook.
Research and develop ways to improve office workflows and streamline costs.

Our Editorial Internship introduces the publishing industry and its editorial procedures. Our editor (to whom the intern will report) works with clients, sets the editorial theme, works with other staff, works with freelancers, prepares mailings, researches, writes, proofreads, selects photographs, and prepares files for production. The intern will be exposed through demonstration and participation to all aspects of the editorial process.
Our Graphics Internship introduces the publishing industry and its production procedures. Our production manager (to whom the intern will report) works with clients, designs the publication, works with other staff, works with freelancers and vendors, builds ads, builds specific graphics, scans photos, assembles pages, prepares finished pages for pre-press and manages the print run. The intern will be exposed through demonstration and participation to all aspects of the design and production process.
The skills needed to succeed in this position are enthusiasm, honesty, a positive attitude and a willingness to learn and accept challenges. Good written and oral communication skills are essential. You must hold a Washington State Driver’s license. Familiarity with the Macintosh operating system using MS Word, email, web browsers, and Filemaker Pro (for editorial interns), and page layout software, Photoshop and HTML editors (for graphic interns) are a plus.
The intern must be willing to commit for a period of time determined at acceptance of position. Most often this ranges averages 18 hours a week for 10-12 weeks. If the intern is obtaining college credit, school requirements must be submitted before start date.
Internships are volunteer positions. Each intern will receive professional training inside a publishing company, access to otherwise hard-to-get experience, academic support with reports and meetings as required for credit, and the opportunity to fully "own" a published project nothing is better for future job interviews than to tell stories to a committee about a piece you've published.
